Privacy Policy

Last updated: 27 October 2026

This policy explains what personal data RaqHub collects, why we collect it and what you can do about it. RaqHub is an online booking system for sports clubs: clubs use it to manage their courts, members and coaches, and players use it to book.

1.Who is responsible

For your RaqHub account and your use of the website, RaqHub decides how your data is used and is responsible for it (the “controller”). Our contact details are at the end of this page.

When a club records information about its members, walk-in players or bookings, the club decides what to record and is responsible for that data. RaqHub stores and processes it on the club’s behalf (as a “processor”). For questions about that data, contact the club; we will help the club answer you.

2.What data we collect

  • Account details: your name, email address, password (stored only in encrypted form) and your role (player, coach or club admin). If you sign in with Google, Google shares your name, email address and profile photo with us.
  • Profile details you choose to add, such as a phone number and a profile photo.
  • Bookings: the court or coach, date and time, price, status, and whether a booking was cancelled or marked as a no-show.
  • Club details entered by club admins: club name, address, contact details, logo, opening hours, courts, prices and booking rules.
  • Coach profiles: a coach’s name and photo, the levels and specialities they teach, their price and a short description. Coach profiles are public.
  • Member data entered by clubs: name, email address, phone number, membership plan and status, and private notes that only the club can see.
  • Technical data: the cookies described below, and server logs (such as IP address and browser type) kept by our hosting providers for security and troubleshooting.

We don’t use advertising, tracking or analytics cookies, and we don’t sell your data.

3.Why we use it

  • To provide the service: creating your account, taking bookings, showing clubs their timetable, and sending booking confirmations and reminders. Legal basis: performing our contract with you.
  • To keep the service safe and working: preventing abuse, fixing errors and applying each club’s booking rules. Legal basis: our legitimate interest in running a secure, reliable service.
  • For club billing: invoicing clubs for their plan and keeping accounting records. Legal basis: our contract with the club and our legal obligations.
  • To answer you when you write to us.

We send emails only about your account and your bookings (and, to club admins, about the club’s plan and weekly reports). We won’t send you marketing emails unless you agree to them first.

4.Who can see your data

  • The club you book with sees your name, contact details and your bookings at that club, including no-shows.
  • Everyone can see club pages, courts, opening hours and coach profiles.
  • Service providers that run parts of RaqHub for us: Supabase (database, sign-in and file storage), our email provider (Resend or a standard mail service) and our web hosting provider. They may use the data only to provide their service to us.
  • Authorities, when the law requires us to share it.

Some of these providers are based in, or use servers in, other countries, including the United States. When data leaves North Macedonia or the European Union, we rely on the safeguards the law requires, such as the European Commission’s Standard Contractual Clauses.

5.How long we keep it

  • Account and profile data: for as long as your account exists. When you ask us to delete your account, we delete or anonymise your data within 30 days.
  • Bookings: for as long as the club’s account exists, because the club needs its booking history. No-shows count toward a club’s booking limits only for 90 days.
  • Club data: for as long as the club uses RaqHub, and for 90 days after it stops, so it can come back without losing anything. Invoices and accounting records are kept for as long as tax law requires.
  • Server logs: for a short time, as set by our hosting providers.

6.Cookies

RaqHub only uses cookies that the site needs to work:

  • Sign-in cookies set by Supabase, which keep you signed in.
  • A language cookie (NEXT_LOCALE), which remembers the language you chose.

Because these cookies are strictly necessary, we don’t ask for consent to use them. If you block them, you won’t be able to sign in.

7.Your rights

At any time, you can:

  • see the personal data we hold about you and get a copy of it;
  • have data that is wrong or incomplete corrected;
  • have your data and your account deleted;
  • restrict or object to how we use your data;
  • get your data in a common, machine-readable format so you can take it elsewhere;
  • withdraw any consent you have given.

Write to support@raqhub.com from the email address on your account. We will reply within one month. If your request is about data a club recorded about you, we will pass it on to the club.

If you think we have handled your data wrongly, you can complain to the Agency for Personal Data Protection of North Macedonia (azlp.mk) or to the data protection authority of the EU country where you live.

8.Security

All data travels over encrypted connections (HTTPS). Passwords are stored in encrypted form, and neither we nor the clubs can see them. Database access rules make sure each club can see only its own data and each player only their own bookings.

9.Children

RaqHub is not meant for children under 14 to use on their own. A parent or guardian can create an account and make bookings for a child.

10.Changes to this policy

We may update this policy when the service changes. The date at the top shows when it last changed. If the changes are important, we will tell users by email or in the app before they apply.
